HST Return Checklist (Ontario): What to Review Before You File

Filing your HST return is easy when your numbers are clean. It's stressful when the return becomes the first time you're looking at your sales, expenses, and ITCs all together.

1) Confirm your filing period (don't guess)

Before you touch the numbers, confirm:

  • Are you filing monthly, quarterly, or annually?
  • Are you filing the correct start/end dates?
  • Are you mixing transactions from outside the period?

This is one of the most common reasons an HST return Toronto filing “looks off.”

2) Reconcile your bank + credit card (minimum requirement)

If your bank and credit card aren't reconciled, your HST return is basically a rough draft.

Checklist:

  • Bank account reconciled to month-end (or quarter-end)
  • Credit card reconciled
  • No big “uncategorized” pile sitting there

3) Review total sales (and make sure you didn't miss income)

Do a quick sales reasonableness check:

  • Do deposits roughly match your invoicing?
  • Any cash sales not recorded?

4) Check HST collected (and make sure it's actually HST)

Common issues:

  • Sales (revenue)
  • HST collected (liability)

5) Review ITCs (Input Tax Credits) — the #1 audit trigger area

Before you file, confirm:

  • You have receipts/invoices for major ITCs
  • ITCs are for business use (not personal)
  • HST number + vendor details are on the invoice (where required)
  • Big one-time purchases are categorized properly (equipment vs supplies)

If you can't support an ITC, don't claim it “hoping it's fine.”

6) Make sure expenses are categorized correctly (so ITCs aren't distorted)

Mis-categorized expenses cause:

  • missed ITCs (you under-claim)
  • wrong ITCs (you over-claim)
  • messy reports (hard to explain later)

Quick review:

  • Meals/entertainment separated
  • Vehicle separated
  • Office/admin separated
  • Subcontractors separated
  • Big assets separated (computers, equipment)

7) Review net tax (does it make sense?)

Net tax is basically:

Net Tax = HST Collected − ITCs

If your net tax suddenly flips (payable becomes refund, or vice versa), ask:

  • Did sales drop?
  • Did you claim a big ITC?
  • Did you miss income?
  • Did you duplicate expenses?

Big swings aren't “wrong” automatically—but they should be explainable.

8) Confirm you're set aside for payment (cash flow check)

If your return is payable:

  • confirm the payment amount
  • confirm the payment date
  • confirm the account you'll pay from

This avoids last-minute scrambling.

9) Save your support (CRA-ready file)

Before you submit, make sure you can pull:

  • sales summary
  • expense summary
  • ITC support folder (receipts/invoices)
  • reconciliations
